Our client is an international management consulting firm helping clients in both the commercial and public sectors meet their most complex challenges. In Europe they operate from offices in Paris, London, Utrecht, Berlin and Cologne, collaborating with colleagues around the world. Their offices in Berlin, Cologne and Utrecht are key to their European growth, and already a thriving professional business of circa 150 consultants delivering impact in the Life Sciences, and Energy sectors.

They are looking for an HR Associate to join them in Berlin, supporting both our Germany and Netherlands based teams across the whole employee lifecycle. You will be supported by a HR Coordinator in Utrecht, and well as the wider Human Capital team in the US and Europe.

What you will do:

Leveraging your finely honed HR administration skills and a wiliness to be a true team player, working across Germany and the Netherlands, the role will include:

  • HR administration along the full employee life cycle in partnership with centralized HR teams in the UK and US.

  • Provide an advisory service to employees for all benefit and core employee processes, deferring to the HR Business Partners for complex issues.

  • Liaison with external payroll service provider on monthly payroll activities.

  • Leverage relevant HR system (Workday – training provided) and Excel for reporting purposes.

  • Prepare reference letters (“Arbeitszeugnisse”).

  • Management and archiving of human resources records.

  • Assist and oversee the administrative onboarding process in partnership with Talent Acquisitions in the UK and the Onboarding team in the US and provide HR onboarding training to new hires on their start day.

  • Besides the day to day work you take initiative to look for improvement in processes and tools and you know how to raise these with the relevant internal team members

  • Submission and reviewing of monthly payroll in close collaboration with the centralized UK payroll team and external Payroll Service Provider.

  • Responsible for statutory social security matters and related mandatory statements and certificates (so called “Bescheinigungswesen”).

  • Correspondence with offices and authorities as e.g. German job office, statutory accident insurance, statutory pension fund, statutory and voluntary health insurances etc. For the Netherlands Pension provider, Accident Insurance providers, Arbo/Verzuim, Leasebike, NS etc

  • Holiday and absence tracking and reporting.

  • Ensure orderly HR administration and fulfillment of legal requirements in regard to maternity leave, parental leave, long term illnesses etc.

  • Be an ambassador at career events, liaise with the Universities and coordinate Campus recruitment efforts.

  • Campus Recruitment Coordination for student workers (“Werkstudenten”) and interns (“Praktikanten”, “Masteranden”).

  • Support HR Business Partner with the administration of any grievances, complaints, performance management matters or disciplinaries.

  • Provide training support to new performance managers/joiners.

  • Organise and contribute to calibration meetings and provide guidance.

Preferred Experience

What you will need:

  • Fluent in both English and German (written, spoken) – at least C1 level.

  • Relevant degree with a focus on human resources, or you have completed commercial vocational training with corresponding further training.

  • Demonstrable knowledge of HR administration and key HR processes, preferably gained in an international corporate environment.

  • Knowledge of German social security and labour law.
