Job Description

The Office Management is part of the Corporate Departments and organizes administrative tasks to support the operative business and our highest operational management level. The Office Management works closely with the worldwide leadership team.

As Team Lead with hands-on, you will lead and organize our Office Management Team with their related tasks and foster further development and optimization of administrative processes in your field of competence.

In addition, as a team leader, you are the team assistant for our operational Heads of Division & Department and support them in various areas.

As team lead you motivate employees, provide targeted support, and thereby shape the team into a high-performance team for the following tasks (among others):

  • Team assistance tasks, like supporting “Head ofs” in preparation of meetings, including scheduling and minutes, sending reminders; tracking and follow-up of to-dos; preparation of regularly scheduled reports

  • Managing external or internal communication, e-mail correspondence; managing inbox and outbox of regular e-mail

  • Contact person for clients and suppliers

  • Supporting travel bookings

  • Purchase and management of office supplies as well as management and support of global external 3rd party subcontracting

  • Supporting various internal corporate departments e.g. Hospitality Management with events & Catering

Preferred Experience

  • Bachelor’s degree in office administration or a related field is beneficial

  • Approx. 5 years of experience in office management

  • Professional understanding of commercial topics

  • Initial leadership experience or strongly aspire to develop yourself into a people leadership role

  • Confident handling of MS-Office

  • Fluent in English and German, any additional language would be an asset

  • Proactive, motivated and committed team player with business orientated thinking

  • An established network (with clients, authorities) would be an asset
